Our Behavioral Health Program Associate is an integral part of our growing Behavioral Health program, a telehealth platform for helping patients access much-needed therapy and mental health care. As our Behavioral Health Program Assistant, you will be responsible for coordinating the interactions and flow of information between participants in the service delivery process (the referrer, the provider, the patient, and internal Zeel teams, including finance, clinical, and operations)

This is a part-time position, with the possibility of full-time work in the future if desired. This position can be fully remote but must be located within the United States. Hours are on West Coast (PST) time.

Our ideal candidate:
  • Must have a solid understanding of clinical operations including scheduling, new patient processing, and documentation management.
  • Interest/experience in working at a dynamic, entrepreneurial tech company with startup DNA
  • Has experience with and interest in virtual office operations and telehealth tools and systems.
  • Has experience working with behavioral health providers, patients and systems.
  • Has an understanding of medical billing procedures and compliance.
  • Is dedicated to providing the best patient care experience through professional and compassionate written and verbal interactions.
  • Is knowledgeable about HIPAA and patient privacy considerations Is a team player who wants to partner and work with all parts of the business.
  • Has demonstrated a strong ability for independent work and excellent communication.
  • Possesses strong analytical, problem solving, data investigation, and troubleshooting abilities.
  • Is a lifelong learner who takes initiative to learn, improve processes, and develop systems.

What you'll be doing:
  • Communicate with referral sources
    • Control the flow of new referrals and examination requests
    • Confirm documentation expectations
    • Respond to questions regarding patient care and scheduling
  • Onboard new patients
    • Execute onboarding checklist including collection of patient information and scheduling requirements
    • Provide setup assistance and basic testing support for the telehealth tools
    • Communicate with patients regarding scheduling, cancellations and no shows
  • Onboard new providers
    • Screen applicant resumes for specified qualifications
    • Work with applicants as need to collect details of their areas of interest and scheduling availability
    • Provide setup assistance and initial walk through of telehealth platform and provide support for Zeel's standard operating procedures
  • Monitor and audit documentation processes
    • Support provider team in their compliance with per session and monthly summary reporting requirements
    • Collaborate with the clinical documentation review team to establish provider expectations and manage quality
  • Reporting and billing processes
    • Support the reporting and billing functions with data from the telehealth platform
    • Audit the platform for data completeness and consistency and work with providers to improve data entry and integrity


  • 3 years admin support in a healthcare environment (behavioral health experience preferred, but not necessary)
  • BA/BS preferred but not necessary

Nice to have:
  • Personal and/or professional experience with Veterans and the VA system.

Salary range:
  • $23-26/hr
